We do not ask for special-category data (for example health or religion). Please do not include it in your message.

3. Why we use it and our legal basis

  • Answering your request and arranging the consultation – steps you ask us to take before a contract (Art. 6(1)(b) UK/EU GDPR).
  • Providing the membership, taking payment, customer support – performing our contract with you (Art. 6(1)(b)).
  • Working out your country from your phone number and matching you with a consultant who speaks your language – our legitimate interest in handling requests efficiently (Art. 6(1)(f)).
  • Prioritising calls using your two holiday answers – our legitimate interest in handling requests efficiently (Art. 6(1)(f)). Our system marks some requests as “priority” so we call them first. This does not make any decision with legal or similarly significant effect about you; every person who asks is offered a call.
  • Marketing emails and SMS about membership offers – your consent, or, for existing customers, the UK “soft opt-in” for similar products. You can withdraw at any time.
  • Analytics and advertising cookies or pixels – your consent (Art. 6(1)(a)) via our cookie banner.
  • Accounting, tax, legal claims, fraud prevention, keeping the website secure – legal obligation and legitimate interest (Art. 6(1)(c) and (f)).

4. Advertising on Facebook and Instagram

We advertise on Facebook and Instagram. If we use the Meta Pixel or the Meta Conversions API, they run only after you accept advertising cookies. They then send Meta information such as the pages you view and, when you submit a form, a hashed (scrambled) version of your email or phone number, so that Meta can show our ads to relevant people and measure results. Meta acts as a joint controller for part of this processing; see Meta’s terms at facebook.com/legal/controller_addendum and its privacy policy. You can manage ad preferences in your Facebook and Instagram settings.

If we use Facebook Lead Ads and you submit one, Meta passes the details you entered to us, and we handle them as described in this policy.

5. Who we share data with

Only with providers and partners who need it, under written agreements:

  • our website hosting provider (StablePoint), which also sends our emails, and the website and form software we use (WordPress, WPForms);
  • jsDelivr, a content delivery network that serves the phone-number field on our forms, and Google Fonts, which serves the fonts on our pages (both receive your IP address when a page loads);
  • Artorian Ltd, which builds and maintains our website and customer system for us;
  • Twilio, if we contact you by SMS, and Zoom, for video consultations;
  • Stripe, for payments;
  • Meta Platforms Ireland Ltd, for advertising (see section 4);
  • our consultants and sales agents in the United Kingdom, Sweden and Norway. When we pass your request to a sales agent, we send them by email your name, phone number, email address, country, language, preferred call date and time, and your two holiday answers;
  • our accountants, lawyers, and authorities where the law requires.

We do not sell your data.

6. Transfers outside the UK and EEA

Some providers are in the United States or elsewhere. When your data is transferred, we rely on an adequacy decision (including the UK–US data bridge or the EU–US Data Privacy Framework where the recipient is certified) or on standard contractual clauses / the UK International Data Transfer Addendum. Ask us for a copy.

7. How long we keep it

  • Consultation requests that do not become a membership, including the emails we sent you: 12 months after the last contact, then deleted or anonymised.
  • Members: for the length of the membership and 6 years afterwards for accounting and legal claims.
  • Marketing consent records: until you withdraw consent, plus 3 years as proof.
  • Server backups: up to 30 days, after which they are overwritten.
  • Cookie data: as described in the cookie section below.

8. How we protect your data

Our customer system is available only to authorised staff, each with a personal login. The website and the system use encrypted connections (HTTPS), and data is backed up regularly. Sales agents receive only the details listed in section 5.

9. Your rights

You can ask us to access, correct, delete or restrict your data, to receive it in a portable format, and to object to processing based on legitimate interests. You can withdraw consent at any time (this does not affect earlier use). Write to admin@clubsimplicity.eu; we reply within one month.

You can complain to a data protection authority: in the UK the Information Commissioner’s Office (ico.org.uk); in Sweden Integritetsskyddsmyndigheten (imy.se); in Norway Datatilsynet (datatilsynet.no); or the authority in your own country.

10. Phone calls and messages

We call or text you because you asked for a consultation. We will not contact you by phone for unrelated marketing unless you agreed. You can ask us to stop at any time; we will keep a note so we do not contact you again.

11. Children

Our membership is for adults aged 18 and over. We do not knowingly collect data from children.
